Smartsheet Cost: Startup & Ongoing Costs

Smartsheet is work management software built around spreadsheet-style sheets. Teams use it for project plans, task tracking, forms, reports and automated workflows. The price you pay depends on the plan, on how many members need to edit, and on whether you add the paid extras.

Pricing is per member per month. Members are the people who create and edit content. The pricing page also describes contributors and guests, who take part in work without counting as full members, but the terms depend on the plan, so read the plan details before you size a team.

Paying for a year up front lowers the per-member rate on both plans. The pricing page shows monthly and yearly figures side by side.

The gap between monthly and yearly is the easiest saving to find. If your team will use Smartsheet for a full year, the yearly rate is the better deal. Monthly billing makes sense for a short project or a trial run, because you can stop when the project ends.

Pro is the entry plan. It covers sheets, forms, reports and several views such as grid, card, Gantt and calendar, along with rich formulas and a monthly allowance of automations. A small team that tracks projects and needs a few dashboards can stay on Pro.

Business is the plan the page marks as most popular. It is built for larger groups and lets you add guests and contributors without raising the member count. It also unlocks more administration and governance features, which matter once several departments share an account. If you only need task tracking for a handful of people, Business is more than you need.

Enterprise is quoted by Smartsheet. It is aimed at large organizations and is not listed with a price.

Some capabilities cost extra on top of the seat price. Two are listed with a starting price on the pricing page.

Dynamic View is for secure request management, where outside people submit or see only the information they should. Data Shuttle moves data between Smartsheet and other systems on a schedule. Both are priced from a starting figure, so the final amount depends on your configuration. Other tools on the page, such as portfolio management and resource planning, are listed as add-ons without a public price. Ask Smartsheet for a quote if you need them.

Member count is the biggest factor. Every editor you add increases the monthly total, so review who needs editing rights and who only needs to view or respond. Guests and contributors are cheaper ways to include people outside the core team.

Billing cadence is next. The yearly rate saves money per member, but you commit for the term.

Services such as training, consulting and implementation help are sold separately from the software. Large rollouts may involve those costs, and Smartsheet describes professional services on its site.
